1/ A 40M² room, the ideal size to rent for a meeting with less than 20 participants
The recurring need for a 40M² room for company meetings:
It takes a certain level of co-ordination to get more than 10 people into a meeting room, which is more difficult for companies that do not have a dedicated space. Even if a company has an in-house meeting room, it is likely to be very busy with its various departments. Between the existing commitments of the participants, their holidays, the evolution of the subjects to be worked on and the availability of the room in question, managing the organisation of an event as well as that of the work room becomes a time-consuming task. 2/What capacity for a 40M2 room
Every room has different capacities depending on its configuration, whatever its actual size:
For a U-shaped room, a minimum average space of 2 m2 per person seated is allowed.
With a classroom or cabaret, the average is 1.7 m2 per person seated.
In contrast, for a conference room, the average area is 1 m2 per person seated.
In short, 20 people can be accommodated in a U-shape, 24 people in a cabaret or classroom and 40 people in a conference room of 40M².
Taking some events' need for space into account is also essential to define a room's capacity.
Indeed, an animator can plan plenary sessions, teamwork, games, isolation and other sessions in the same training event without changing the room's layout every time. In this case, we need to set these different spaces in the same meeting room, which reduces its capacity. Therefore, the room's ideal capacity would be of 7 or 8 people who can easilly walk around and perform varying tasks.
3/What configuration for a 40M2 room
The advantage of a meeting room in 40M2 is that it can be arranged in Many configurations.
The U format:
Ideal for discussions around a projection screen. Participants are seated around a U shaped table and can all see the screen and speaker. The speaker can move outside and inside the U.
The meeting format:
Almost identical to the U except there is no space between facing participants. Projection is possible but the speaker has their back to the screen. This layout is ideal for a board meeting, for exemple.
The Cabaret format:
Allows for small team exchanges. For a 40m2 room, 5 groups of 4 to 5 people can work in teams and report to the other teams afterwards.
The classroom format:
As the name implies, it allows for courses in which the audience is focused on the trainer. Projection screen and paper boards are available in classroom layout rooms as in most rooms.
The Conference format :
It allows to gather up to 40 people in a 40m2 room. It is ideal for an informational meeting, a plenary, or a condominium meeting for example.
The Design Thinking format:
Today, we can observe the development of a more creative spirited configuration which includes couches, coffee tables, armchairs, shelves, post-its, paper boards and more. Modularity is ar the core of this design thinking environment.
